Privacy Notice

Exeter Chiropractic Clinic is registered with the Information Commissioner’s Office (ICO) and complies with the guidelines set out by the General Chiropractic Council as well the Data Protection Act 2018, which includes the General Data Protection Regulation (GDPR).

 

Basis for Processing Data

When you supply your personal details to the clinic, they are stored and processed for 4 reasons:

  • We need to collect personal information about your health in order to provide you with the best possible treatment. Your requesting treatment and our agreement to provide that care constitutes what the law calls a “Contract”.
  • We have what is termed a “Legitimate Interest” in collecting that information, because without it we could not do our job effectively and safely.
  • We also think that it is important that we can contact you in order to confirm your appointments with us or to update you on matters related to your medical care. This again constitutes “Legitimate Interest”, but this time it is your legitimate interest.
  • Consistent with our role as healthcare professionals, we may occasionally send you general health information in the form of articles, advice or newsletters. This again falls under the category of “Legitimate Interest”.

 

Record Retention & Storage of Data

We have a legal obligation to retain your records for 8 years after your most recent appointment (or age 25, if this is longer).  After this period, we will shred your paper-based records and delete your electronic records on the Clinic Buddy database.  Your records are stored electronically on a secure server which is backed up regularly. Access to all data is password protected.

 

Access to Data

We will never share your data with anyone who does not need access without your written consent. The only people who will have routine access to your data are your practitioner, in order that they can provide you with treatment, and our reception staff, who organise appointments and reminders, and can act as an intermediary between you and your practitioner.

It is good practice to liaise with other healthcare professionals, but we will seek separate consent for us to write to your GP, or to communicate with any other healthcare professional.

 

Your data is backed-up on the secure server of an external data management organisation. Exeter Chiropractic Clinic has ensured that Clinic Buddy are compliant with the data protection regulations and are fully aware that all information is confidential. Although we have card payment facilities, we do not retain any card or other personal payment details.

You have the right to see what personal data of yours we hold, and you can also ask us to correct any factual errors. Provided the legal minimum period has elapsed, you can ask us to erase your records.

 

Concerns

We want you to be absolutely confident that we are treating your personal data responsibly, and that we are doing everything we can to make sure that the only people who can access that data have a genuine need to do so.  Of course, if you feel that we are mishandling your personal data in some way, you have a right to complain. Privacy Notice

When someone visits www.exeterchiropracticclinic.co.uk we collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. We collect this information in a way which does not identify anyone but allows us to improve the content of the site and the overall user experience. We do not make any attempt to find out the identities of those visiting our website.

 

A cookie is a small file of letters and numbers that is stored on your device when you visit a website and contains information that is transferred to your computer. This site does not collect or store any identifiable personal information. However, at any time you can delete and block cookies from this site.  You can delete cookies in most browsers and can block cookies by activating the feature on your browser that allows you to refuse the setting of some or all cookies.

 

‘Do Not Track’ notifications.

Some browsers allow you to automatically notify websites you visit not to track you using a “Do Not Track” signal. There is no consensus among industry participants as to what “Do Not Track” means in this context. Like many websites and online services, we currently do not alter our practices when we receive a “Do Not Track” signal from a visitor’s browser. How you can access, update or delete your data.

If you make a request to delete your personal data and that data is necessary for the products or services you have purchased, the request will be honoured only to the extent it is no longer necessary for any Services purchased or required for our legitimate business purposes or legal or contractual record keeping requirements.

Exeter Chiropractic Clinic combines technical and physical safeguards with employee policies and procedures to protect your information. We work to protect your personal information during transmission by using Secure Sockets Layer software, which encrypts the information that you provide online at our website. We will use commercially reasonable efforts to protect your information. We will also continue to assess new technology for protecting information and upgrade our information security systems when appropriate.Further, we permit only authorised Exeter Chiropractic Clinic employees to access any personal information. If an employee misuses personal information, we may take disciplinary action, up to and including termination of employment. If any third party individual or organisation misuses personal information, we will take action, up to and including termination of any agreement between Exeter Chiropractic Clinic and that individual or organisation.

Exeter Chiropractic Clinic processes personal information only for the purposes it was originally collected and in accordance with this Privacy Statement. Exeter Chiropractic Clinic takes commercially reasonable steps to ensure that the personal data is relevant, reliable for its intended use, accurate, complete, and current for the purposes for which it is used. Exeter Chiropractic Clinic retains information for as long as reasonably required for business purposes or as reasonably required to comply with our legal obligations.
